BYAA Board Job Descriptions
1. President
The President shall:
a. Sign all written contracts approved by the BYAA Board on behalf of the BYAA.
b. Coordinate the work of the BYAA Board in order that the purposes of the organization may be
promoted.
c. Perform such duties as assigned by the BYAA Board as implied by the BYLAWS on behalf of BYAA.
d. Oversee in collaboration with the Executive Board background checks for Board candidates.
e. Oversee and assist the sports Directors with the selection of coaches and coaching relations.
f. Oversee and assist the sports Directors with player and parent relations.
g. Chair all BYAA Board and Executive Board Meetings
2. Vice President
The Vice President shall:
a. Act as aid to the President and shall perform the duties of the President in the absence or inability
of that officer to act.
b. Have such other powers and perform such other duties from time to time as may be prescribed
by the President or by the BYAA Board.
c. Oversee the recruitment of BYAA Board candidates.
3. Secretary
The secretary shall:
a. Keep an accurate record of the proceedings of all BYAA meetings.
b. Record all voting of expenditures in the minutes.
c. Prepare and disseminate minutes of the meetings to Board members and Directors.
d. Prepare an agenda for all meetings of the BYAA.
e. Shall keep a current copy of the Bylaws.
f. Shall run background checks on potential Board and coaching applicants and provide the information
to the appropriate Board member/s.
g. Shall send correspondence deemed necessary by the President and the BYAA Board.
h. Perform such other duties as may be delegated to the Secretary by the BYAA Board.
i. Check the post office box in Berthoud on a weekly basis and deliver correspondence to the
appropriate Board member.
j. Coordinate all BYAA Insurance policies and assure that insurance policies do not expire without
Board approval.
k. Shall keep copies of all current paperwork required by all participants and ensure current and legible
physical examinations are obtained for required sports.
4. Treasurer
The treasurer shall:
a. Receive monies of BYAA, keeping an accurate record thereof and shall deposit them in the name
of BYAA in a bank or banks approved by the BYAA Board.
b. Pay all bills as authorized by the BYAA Board.
c. Keep an accurate record of all receipts and disbursements, which is a permanent record of BYAA.
d. Retain all financial records and pass on to proceeding BYAA treasures for retention periods of
seven years.
e. Present a statement of accounting at every meeting of the BYAA and or at the request of the
BYAA Board.
f. Make an annual financial report in December to the BYAA Board, which includes gross receipts and
disbursements for the previous year.
g. File or cause to be filed such annual reports with the IRS, the State of Colorado and local agencies
as required by law.
h. Collaborate with the contracted BYAA accountant to keep accurate financial records as required to
maintain compliance with Section 501(c) (3) of the Internal Revenue Code or corresponding section
of any future federal tax code.
5. Director of Equipment and Facilities
a. Oversee the scheduling and preparation of practice and game facilities with the Thompson School
District and City of Berthoud.
b. Serve as custodian for equipment and supplies belonging to the BYAA.
c. Provide for the inspection and repair or replacement of equipment and supplies.
d. Oversee the distribution and collection of equipment and supplies.
e. Annually report the state of the BYAA’s inventories.
6. Director of Grants and Fund Raising
The Director of Funding and Grants shall:
a. Organize and manage grant writing and fund raising opportunities for the BYAA.
b. Organize and manage fundraising activities with the Directors of each sport.
c. Collaborate with the BYAA Treasure to assure proper distribution and record keeping of grants
and funds received.
d. Oversee that all BYAA fundraising is in compliance with the 501(c)(3) regulations of the
Internal Revenue Code or corresponding section of any future federal tax code.
7. Director of Public Relations and Communication
The Director of Public Relations and Communication shall:
a. Direct all public communication for the BYAA
b. Facilitate and Maintain the BYAA Website
c Facilitate BYAA Email Blasts
d. Facilitate and direct all BYAA communications to local newspapers and other media outlets.
8. Directors of Football, Basketball, Volleyball, and Baseball
Each of the individual sports Directors of the BYAA Board are responsible for directing all activities required for each individual sports program per the BYAA Bylaws and rules for their respective sports. Including:
a. Develop and maintain an annual budget per for the sports program for which each sports Director is
responsible and obtain Board approval for such for each season.
b. Organize sports program activities including: registration, coaches meetings, parent/player/coaches
meetings, team practice schedules, and game schedules.
c. Provide sport, league, and BYAA rules and assure compliance of BYAA Teams observance of the
rules.
d. Collaborate with the Director of Equipment and Facilities to schedule practice and game fields, and
to acquire and maintain equipment.
e. Coordinate selection of uniforms.
f. Collaborate with the BYAA President and Vice President in soliciting and selecting coaches.
g. Provide written sports program communication to be posted on the BYAA Website, e-mail blasts,
and newspaper articles.
h. Oversee addressing and resolving sport related parent/guardian, coaches, and spectator issues
and seeks assistance of the BYAA President and Vice President as needed. Directors of sports
will be responsible for holding all coaches accountable for their actions as well as the actions of their
parents.
i. Reporting sports program information to the BYAA Board in monthly Board meetings.
j. Represent the BYAA in the chosen leagues in which all BYAA teams will participate.
